Scope

This policy explains how Advocacy handles information collected through our Website and AI platform, including information you authorize us to receive from connected accounts. Customer Agreements may provide additional terms about client data, but the connected-account practices described here also apply to information processed through the platform.

Website Visitor Information

When you interact with our Website, Advocacy automatically collects technical data such as IP addresses and browser types, website usage patterns through Google Analytics, and device-specific information.

When you contact Advocacy through our Website, you may choose to provide your name, email address, and any other information you include in our contact forms.

Client Accounts

For clients of Advocacy, the Company maintains basic business contact information, account access credentials, and payment details necessary for service provision.

Connected Accounts

When you choose to connect a Google account or Microsoft Outlook account, Advocacy accesses information permitted by the permissions you approve and the features you use. Depending on those permissions, Advocacy may read your email and calendar, send email you write or approve in Advocacy, and create or update calendar events at your direction. The information we receive may include your account name and email address; message senders, recipients, subjects, dates, bodies, and attachments; and calendar event details.

We use connected-account information to establish and maintain the connection, synchronize and display information in your Advocacy workspace, and provide the email, calendar, matter, search, and AI-assisted features available to you, including organizing incoming email by matter. We access and process this information only for those user-facing purposes and related security and support needs.

Our Data Practices

Information Usage

Advocacy uses your information to respond to your questions, set up and manage your account, provide the features of the AI platform, process payments, maintain the security of our Website and platform, generate usage analytics, and meet legal requirements.

Data Protection

Advocacy protects your information through encryption in transit and at rest, access controls that limit who can view customer data, secure storage with our database provider, industry-standard security protocols, and regular security reviews.

Data Processing and Retention

Advocacy does not sell personal information and does not use customer-uploaded content or connected-account information to develop, improve, or train generalized or non-personalized AI or machine learning models.

We retain connected-account information while the account remains connected and as needed to provide the features you use. When you disconnect an account, we revoke our access, stop future synchronization, and delete the email, attachments, calendar data, and information derived from them that we imported from that account. You may also request deletion at any time by contacting privacy@advocacy.ai or by removing Advocacy’s access in your Google or Microsoft account settings. Residual copies of deleted information may remain in our encrypted backups for a limited period until those backups expire. We do not restore deleted information from backups into active use, and if a backup must be restored, we re-apply your deletion before the information is used. We may retain information longer where required by law or by a legal hold or preservation obligation.

Third-Party Services

Advocacy uses service providers for functions such as account connection and synchronization, hosting and storage, AI processing, security, payment processing, and website analytics (Google Analytics). These providers process information on our behalf only to deliver those functions. AI processing providers receive connected-account information only to perform the task requested and are contractually prohibited from using it to train their models. We do not share connected-account information with advertisers or data brokers.

Google User Data

Advocacy’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements, and the Google Workspace API User Data and Developer Policy.

We use Google user data only to provide and improve the user-facing features described in this policy. We do not use it for advertising, sell it, use it to determine creditworthiness or for lending purposes, or use it to develop, improve, or train generalized or non-personalized AI or machine learning models. We transfer it to service providers only as necessary to provide those features, for security purposes, to comply with applicable law, or as part of a merger, acquisition, or sale of assets, with notice to affected users. Our personnel may access specific Google user data only with the user’s affirmative permission, when necessary for security purposes, or when required by law.

California Privacy Rights

If you are a California resident, you have specific rights under the CCPA:

To exercise these rights, contact us at privacy@advocacy.ai. We will verify your identity before responding to your request. We aim to respond to all legitimate requests within 45 days.

Updates
